Throughout the review period, updates may be made to the information recorded within a staff member’s review. In this section, we will complete and submit one of the observations associated with a review.
Task:
- From the left-hand contents menu, go to My Details and select My Staff.
- Click on the name of the staff member for whom you previously started a review.
- Ensure you are on the Portfolio page for the relevant review.
- Click the Monitoring tab.
- Identify the monitoring entry with the closest date to today and click on the title listed in the Focus column.
Scroll through the monitoring form to familiarise yourself with its layout.
Monitoring Form Completion & Review Process
Task:
- Complete all fields in the Question Headers section.
- Set the date to today.
- Answer each question using: Grading selections (where applicable) or short written comments.
- From the top-right of the form, select Save & Close.
Tip: The form’s date will now reflect today, but the status remains as Not Submitted. You can reopen the form to confirm your responses were saved.
Task:
- Log out and log back in as the reviewee.
- From the Home page, select My Portfolio (top-right menu).
- Open the Monitoring tab.
You will notice that the reviewee cannot open the monitoring form or view the observer’s gradings and comments.
Saving without submitting should only be temporary. Submission is required for the data to be reviewed and included in reports.
Task:
- Log back in as the line manager (reviewer).
- Navigate to My Staff and select the relevant staff member.
- On their Portfolio page, select the Monitoring tab.
- Open the previously saved monitoring form.
- Review your prior inputs and complete any remaining sections, including grading.
- From the What Next? dropdown, choose Submit.
Upon submission:
- The status updates with the overall grade.
- The Date Completed is set to today.
- The monitoring graph reflects the submitted form.
Task:
- Log back in as the reviewee.
- Go to My Portfolio and open the Monitoring tab.
- Click on the monitoring form to open it.
- Read through the observer’s comments and gradings.
- Enter your response in the Teacher Comments section.
- From the What Next? dropdown, select Update, then click Close.
The reviewee’s monitoring graph now includes the entry, but only for forms that have been submitted.
Task:
- Log in again as the line manager.
- Access My Staff > staff member > Portfolio > Monitoring tab.
- Open the submitted monitoring form.
- Confirm that you can now view the Teacher Comments.
- Select Close from the What Next? dropdown.
